Strain-Japan R-XVI is a rural K-8 district operating a single school in Franklin County, Missouri. Like most small districts, they had no AI policy and no internal expertise to develop one. A complete AI use policy written specifically for Strain-Japan — their grade range (K-8), their community context, their existing tools. Not adapted from a template. It defines where AI is and isn’t appropriate in student work, what staff may use AI for, how new tools are reviewed, and what the incident reporting path looks like. The Safety Huddle is built in.

A companion planning document that gives leadership a roadmap for implementation: how to introduce the policy to staff, how to communicate it to parents, how to handle the first edge case, and what ongoing review looks like.

A 90-minute session that walked staff through the policy, the reasoning behind it, and the practical lines it draws. Designed to give teachers a clear answer to the questions they were already being asked — by students, by parents, and by themselves.

A full presentation package for the board: framing the governance context, presenting the policy in accessible terms, and walking the board through the decision they were being asked to make. Developed to be presented by district leadership without requiring Windrose on-site.

Strain-Japan R-XVI now has an AI policy on the books, a staff that knows how to apply it, and a board that made a deliberate, documented decision about AI before something forced the issue. The district went from no policy to full adoption — with independent legal sign-off — in a single engagement.
